The Olive Tree Nursery

Opening Hours

Our standard opening hours are 8.00am to 6.00pm Monday to Friday, 50 weeks of the year.

We close on bank holidays, the period of Christmas eve to New Year and for up to 5 training or parental engagement sessions. You will be notified of these in advance in our newsletter and yearly planner. Please note, the planner is subject to change and is displayed in reception. If you require another copy please see reception and this can be emailed to you.


Collection of children

Children should be collected promptly. If you are going to be late collecting your child, the nursery must be telephoned before the end off the session and a charge of £10.00 for the first 15 minutes will be added, then a further  £7.50 for all subsequent 15 minute blocks entered in to will be added to your account. I.e if you are due to collect at 4.30pm but do not arrive until 4.50pm you will be charged £17.50.

For security reasons, children can only be collected by the authorised contacts provided on the initial paperwork. Staff must be informed if any person than a parent is going to collect, this must be done at the start of the session or by telephone if during the session.  If you wish to make changes to those authorised to collect these changes must be provided in writing and any new contacts introduced to a member of staff.

Children cannot leave the premises with

•An unauthorised person,

•any person we believe to be under the age of 16 years, or

•A person who appears unfit to care for a child.


It is advised that you ask anyone collecting your child to bring photographic identification with them.


Health and Safety

The Olive Tree operates the highest standards of hygiene.

Please can you ensure that all bottles and other food or drink containers are clearly named. All meals and snack are provided by The Olive Tree Nursery under SDC and SCC guidelines. We will not accept food and/or snacks brought in from home. Food from home must not be brought into the building or left in the children’s bags.

The Olive Tree is legally obliged to follow the Statutory Requirements as set by OFSTED.  We have an obligation to protect a child from any form of abuse or neglect. In any suspected instance the nursery would contact Somerset Direct. Visitors must not use their mobile phones under any circumstances inside the nursery building to safeguard the children, staff and other families The Olive Tree Nursery will refuse you entry if you are using your mobile phone, this may incur extra charges should you go over your collection time. Smoking and vaping is strictly prohibited within the nursery building and grounds. Children are allowed to wear stud earrings ONLY, children must not wear any other form of jewellery to minimise the risk of accident or injury. If you wish your child to wear jewellery for religious, cultural or health reasons please discuss this with a member of the nursery management team. The Olive Tree Nursery reserves the right to refuse entry to any child if the jewellery they are wearing is not in line with the terms and conditions.


The Olive Tree Nursery Fees and Sessions

The Olive Tree Nursery does not accept any child for only 1 session per week. We require a minimum of 2 sessions. The 2 sessions can be 1 full day or 2 half days. The Olive Tree Nursery believes 1 session a week is not beneficial to the child as it will take longer for the children to settle and build relationships with staff and their peers. Please note, Breakfast and lunch are ‘add on’ sessions and are only available if added to the morning session. Tea is only available if added to the afternoon session. It is not possible to add these sessions to The Rose Garden

The extended 30 hours can be used against any sessions, if you are eligible for the 30 hours funding and we have been able to confirm this meal prices are; Breakfast £1.20, Lunch £2.75 and Tea £2.00.

The Olive Tree Nursery does not provide nappies, wet wipes (or alternative cleaning products) or nappy cream for the children, if needed these MUST be provided by parents. Failure to do so will incur extra charges being applied to your account.


How are nursery fees collected?

Invoice are raised on the 1st of each month, this is then payable by the 15th of the month (this is non negotiable) If parents wish to pay weekly, they must pay a minimum of 2 weeks in advance and the account must still be clear by the 15th. You may pay by Cash*, Debit Card, Credit Card, Childcare Vouchers, tax free childcare or Online Banking. You may wish to set up a Standing Order, however, please note that fees may vary monthly. We offer the option to have invoices emailed, if you choose to have a paper invoice there will be a charge of £1.00 per month added to your invoice termly.  If you require an invoice to be reprinted there will be a charge of £2.00 per invoice up to a maximum of £10.00 per request. All requests must be made in writing to the nursery manager.

Fees not paid and cleared by the 15th of the month will incur a charge of £20.00.

Unpaid fees are always pursued via the County court and the nursery reserves the right to terminate a child’s place in the event of persistent late payment or non- payment of fees. See bad debt.


*We will only accept cash payments up to £250.00 in a single transaction, any invoice over this will need the remainder to be paid by an alternative method.


When are fees reviewed?

Fees may be adjusted at any time throughout the year, when this happens, they will usually be held for a period of twelve months.


Bad Debt

In the event an account falls in to arrears the following guidelines will be applied, a written agreement will be made between The Olive Tree Nursery and the parents. An account is deemed as ‘in arrears’ when payment has not been made and cleared by the 15th of each month. Please note extra activities are only included in this if paid monthly. If paid weekly the same rules apply but the account is in arrears if not paid by the end of the week. An example of how bad debt will be calculated can be found here.  


Extra Charges

In the event a child has not been provided with nappies, wet wipes (or alternative cleaning products) or nappy cream where needed, we will charge £0.50p per session to cover the cost of using nursery supplies. Please note you will not be contacted prior to this, just informed on collection.


What happens if my child is ill?

Children should not attend nursery if they are suffering from sickness, diarrhoea, an infectious illness or have any unspecified rashes {until diagnosed by a doctor}

The Olive Tree Nursery also uses the ‘traffic light’ system as guidance to whether a child is well enough to attend nursery, we ask parents to do the same. Our Exclusion Periods can be found by clicking here, PLEASE NOTE THIS LIST IS NOT EXHAUSTED.

The nursery reserves the right to refuse attendance and request a second opinion on any medical issue.

If a child becomes ill while at nursery, a parent will be telephoned immediately to inform them of their child’s illness and the need to collect them. If parents cannot be contacted another authorised contact will be called. The child must be collected as soon as possible and no longer than 1 hour must pass from the initial phone call to the child being collected, if necessary, an alternative person to collect must be arranged by the parent. This is to reduce the risk of infection spreading to other children and staff. If necessary, the child’s GP will be called. In the event of an emergency, the child will be taken to the nearest hospital, accompanied by a senior member of staff, who will act in ‘loco parentis’ until a parent arrives.

Medication is only given when prescribed by a doctor or medical practitioner and a medication form completed in accordance to our Medication Policy and current government guidelines. If a child has to receive regular medication whilst at nursery, Forms must still be filled in and signed for as required. Parents are required to inform staff if any medication had been administered before attending The Olive Tree Nursery.


If your child requires medication whilst at The Olive Tree Nursery the following points must be met:

•A nursery medication form must be completed,

•The medication must be clearly marked by a medical practitioner with the child’s name and dosage instructions,

•Medication must be provided in original packaging,


Policies and Procedures

Parents are welcome to view all policies and procedures by which the nursery operates. On signing up to The Olive Tree Nursery parents are issued a USB with all nursery policies and procedures on. It is parent’s responsibility to ask at reception for any updates.


Lost property

Parents are requested to clearly label all their children’s belongings brought in from home to help avoid loss. We also ask that parents ensure they only take their belongings home, in the event of taking home the wrong items these must be returned the next working day.

The Olive Tree does not accept any responsibility for lost / damaged property and will only assist in finding the items if ratios and staffing allow.


Extra Activities

The Olive Tree Nursery prides itself on providing children with experiences outside of the ‘normal’ day to day nursery life. Extra activities are offered on a first come first served basis however, The Olive Tree Nursery reserves the right to withhold, cancel or postpone a space on the extra activities if they feel there is a sufficient need to do so. Full fees are payable in the event your child does not attend an activity for any reason including sickness, holiday etc. The Olive Tree Nursery will issue a refund to your account should we cancel an activity at short notice and no alternative.


Increase in Sessions

Should you wish to increase the number of sessions please complete an alteration of hours form, and your request will be accommodated as and when a space is available.

Parents often require an occasional session in addition to their booked place. Should you require an extra session please complete an alteration of hours form, we will do their best to accommodate the request, please note these requests will not be looked at until at least 2 weeks prior to the requested date. Occasionally we are asked if a session can be ‘swapped’, unfortunately we are unable to accommodate this type of request.


Reduction of sessions

Should you wish to reduce the number of sessions a child attends one month’s written notice is required.

Should a parent wish to defer the start once a place has been confirmed half fees are payable until the new start date.

If you do not use your EYE to cover your notice period full fees will be payable.

The Olive Tree Nursery reserves the right to reduce a child’s sessions with no notice if an account is in arrears. These sessions will be stipulated by The Olive Tree Nursery.


Notice of termination

We require four weeks written notice when you wish to terminate your child’s place at the nursery.

The Olive Tree Nursery reserves the right to terminate a child’s place with immediate effect if any of the terms and conditions are breached. Your account must be paid in full by the time your child leaves nursery. Your child’s personal pathway will remain the property of The Olive Tree Nursery until your account is settled in full.


Changes to Personal Information

Please notify The Olive Tree of any changes to personal information, such as address, contact numbers or emergency contact as soon as possible by completing and dating a new registration form. We may ask you to complete regular update forms to ensure all information we have is correct. These forms must be completed and returned no later than the specified date.


Child Care Vouchers

The nursery is able to take Child Care Vouchers. A member of the management team will be able to give you information on how to redeem them.

Securing a place at The Olive Tree Nursery

If we have a place available, we will accommodate your request as soon as possible. If not we will add your name to our waiting list, and keep you informed about availability. To request a place you need to complete the registration form and return it to the nursery. We will then either, confirm in writing or via a phone call a date for your child to start nursery or confirm your name on our waiting list. Once your place has been confirmed we will need to book in a minimum of three settling in visits.


Do I get a refund if my child cannot attend nursery?

If your child is off sick, away on holiday or if the nursery closes due to ‘acts of god’ or environmental factors beyond our control, we cannot offer a refund. However, you will not be charged for Training or parental engagement days, Bank Holidays and the Christmas Closure.


Data Protection / Fair Processing Statement

The Olive Tree Nursery is a Data controller for purposes of the Data Protection Act 1998. This Act regulates how we obtain, use and retain information about individuals. The Olive Tree Nursery is registered with Information Commissioners Office.

The information you supply to The Olive Tree Nursery is being collected for the purpose of providing you and your child/ren with a service. When you sign or complete a form at nursery or give us information about you and your child/ren you are providing consent to The Olive Tree Nursery processing your personal information for the purpose of delivering childcare to you and your family. Any information provided will not be retained for any longer than is required for that purpose. Any information we hold will only be shared with your knowledge, the exception to this being in any suspected instance of abuse, the nursery would contact Somerset Direct.



The Olive Tree Nursery uses a range of communication methods to ensure that parents/carers are kept informed and up to date with our nursery community. A monthly newsletter will be available for you to collect at reception or it will be

emailed to you along with your invoice. We keep up to date information on the Nursery notice boards. We have a screen in the main nursery reception that is updated to give you information.


Social Media and Technological Communication

The Olive Tree Nursery also has a Facebook group “The Olive Tree Nursery parent’s page”, we will use this to give you regular updates and information such as closure days, ‘snow days’ and nursery events.

The Olive Tree Nursery also uses a system called Nursery Manager we can then use this system to keep you informed by either text or email. Parental participation in their child’s learning is important parents are asked to sign up to tapestry to access and contribute to their child’s learning journal. The Olive Tree Nursery also has a snap chat account that we will use to send you reminders and quick updates.

It is a parents/carers responsibility to ensure that the Nursery has up to date contact information for all communication methods to be successful.
